The system is very easy to operate. You and your clients can access the software as well as important information like statements, transactions, offers or the directory using any computer with Internet access and a browser like Internet Explorer.

The Management/Administration Center gives you full control over all trade operations. The main administration center allows one to make authorizations, transactions, print checks, view check archives, see trading income results, review statements, balances, set fees and loans, change account types, and enter and edit information about every member.

1. Registration

Registration is achieved by completing a simple registration form. You will then be given two usernames and one password (same for both). The first one allows you to do business with other clients, the second one provides you full control over all operations, editing your trade exchange etc. Once you have completed your application then you can log on.

3. Software Administration

Software administration

  • Homepage Set Up - this link allows the administrator to edit their trade exchange information (like: links, bottom copyright, messages to clients, pictures...) very simply. Every change in the homepage set up will be shown to all members of your trade exchange or non-members according to your specification. You can edit or delete this information at anytime.

There is the "Links Set Up" button which allows you to display some useful links to your clients (likewise messages in Homepage Setup).

The following picture can be the result of the administrator's work in Homepage Setup which is viewable to clients in the trade exchange.

  • Reciprocal Accounts - this link provides the administrator with the ability to allow trading with other trade exchanges. To accept payments from other trade exchange clients the administrator must check this trade exchange (first column in the picture displayed below) and save it. If the box is not checked and saved then payments from clients on that trade exchange will not be accepted.
    The checked trade exchange(s) in the second column informs you about their acceptance of payments from your trade exchange. You can't check or uncheck it, it provides you only with information about their acceptance. If you don't see this second column it means that no trade exchange currently accepts your currency.

    Attention: It is very important to be very careful when choosing trade exchanges to form reciprocal agreements with. Information about their membership and trading volume is provided in order to allow you to make an informed decision. ONLY make reciprocal agreements with strong exchanges with many members otherwise there is the potential that they will purchase many of your goods and you will have nothing to buy on their trade exchange.
    On this page you can see the "whole marketplace" function. This function allows you the ability to have your ads placed in all the trade exchanges. All the members of the other exchanges will be able to see your members ads. This does not mean that you have to have a reciprocal agreement with them.

    As an example, on this
    screen you can compare the accounts of two clients on different exchanges, one with a active Whole Marketplace function and the other with an inactive function.
  • Set Standard Commission & Monthly Fees - All the standard commissions and fees can be set up all on the one page by the administrator. The change of commissions will apply only to new members, if you want to change the commissions for existing clients you must change it here (set fees, set commissions) in the member information section.

  • Application Approval Center - This function allows you to set the process for approval of new clients. You can set it to be a automated approval process or manual approval process depending on your preferences.
    Manual Application Approval - Choosing this method allows you to manually review and approve each applicant to the Trade Exchange. If you choose this option you will find the new members under LIST OF NEW ACCOUNTS in the upper list across the top of the page.
    Automatic Approval - Choosing this method means that each applicant will automatically be approved and granted access to the Trade Exchange.

    Acceptance of New Members
    The registration and approval of new members may occur automatically or manually. Automated approval means that each applicant (completes Registration Form) is automatically granted access to the Trade Exchange. If you choose Manual approval method you can review all new applicants, approve or decline them. Manual approval of new members is done through this process.:
    1. The new applicant completes and submits Registration Form
    2. The administrator is automatically notified via e-mail about new applications
    3. The administrator logs on to find new applications in the members section. The applicants which don't have an account number are labeled "New". Another way to find new applicants is to choose "List of new members" and click on "Search" button. You can find out information about the applicant here.

    5. The Clearing section is opened where you can see notice "Account No.: NOT AVAILABLE". If you want to approve them, then click on this notice.
    6. You will see the following screen:

      Set fees and click on the button "Approve User". Clicking on this button means that you accept the new users application. An account number will be generated and an email informing the new user of their acceptance will be automatically sent.
    7. The applicant receives a e-mail with their account number and joins.
  • Company Data & Trading Rules - information about the administrator and trading rules is provided here. These rules apply to all clients on the exchange.

    4. Member Information
    A list of all members is provided in the section "Members".
    If you want to change a client's data then simply click on their account number. A screen similar to this will be displayed.

    There are useful links here such as:
  • Main Data - changing information about the member (this is the same information that the user put in the application). For example: name, phone, fax, credit card numbers ... the administrator has the ability to update them.
  • Trade Floor – here you can add or delete ads in the name of the client.
  • Set Fees - setting monthly fees to this member
  • Set Commissions - setting trade commissions. This function allows the administrator to set different commissions for various clients.
  • Trade Credit Limit - administrator can provide credit to a member here.
  • Cash Receipts /here/
  • Block Account - this link allows blocking or unblocking of a members account. If the account is blocked then no transaction can occur.
  • Delete Member - It will definitively delete the member and all data on this member. Be very careful when deleting a member because there is no way to retrieve data on the member or to activate the account again.

    The administrator can view all members transactions, members statements or can make notes about a member on this screen.

  • Searching members
    You can search the members by: company name, account number or e-mail address. Detailed information is displayed after you click on the selected member.
